Administrative Assistant

The Administrative Assistant is responsible for providing administrative support to Sales and Service teams through a variety of tasks related not limited to order fulfilment, customer inquiries and RMA process.

• Process orders received through diverse platforms, promptly escalating any issues
• Print and distribute daily open order report
• Review backorders and advise customers and Sales team of new in-stock date;
• Enter warranty registration
• Assist sales team with incoming phone calls, emails and customer inquiries keeping accurate records of customer interactions
• Assist direct end-user customers with placing orders, picking up orders and purchasing trailers
• Handle payments (cash or credit card) efficiently and responsibly
• Sort and match daily packing slips with the order confirmation, and communicate any missed pick-ups
• Process invoicing and customer credits on diverse platforms and accounting software
• Process and track cost of returns of merchandise in ManuX
• Prepare reports and process documentation in ManuX • Place orders for office supplies inventory
• Perform administrative and office duties such as filing, updating customer information, preparing documentation

• Minimum secondary school diploma or equivalent; • Minimum 2 years’ data entry experience in an administrative and/or customer service environment;
• Proven administrative experience
• Customer relationship management tools (CRM) experience an asset;
• Knowledge of EDI fulfilment an asset.

• Fast, accurate data entry skills with excellent attention to detail;
• Intermediate proficiency in Microsoft Office (Word, Excel, Outlook);
• Effective organization and time management skills with the ability to multi-task;
• Excellent communication skills;
• Ability to learn quickly and a commitment to ongoing development.
