Item Master Specialist – Westbrook Greenhouses Limited
Position Overview
The Item Master Specialist is responsible for creating, maintaining, and managing item data within the company’s ERP and related systems. This role is essential in ensuring accurate product setup and classification, supporting order fulfillment, inventory accuracy, pricing, and reporting.
Duties and Responsibilities
- Create and maintain item master records for all plant materials, hard goods, packaging, and related materials in ERP system;
- Ensure product information is accurate, complete, and standardized, including UPCs, descriptions, dimensions, weights, pricing, and other key attributes;
- Coordinate with Sales, Procurement, Production and Marketing teams to ensure timely setup of new items to meet customer requirements and seasonal timelines;
- Manage item lifecycle status (active, inactive, discontinued) to ensure system accuracy and support planning;
- Validate and input customer-specific data requirements for mass market retailers;
- Support inventory management and forecasting through clean and consistent data;
- Troubleshoot and resolve data discrepancies across systems and departments;
- Assist with reporting and analytics related to item performance, assortment planning, and cost tracking;
- Participate in process improvement initiatives related to item master data governance;
- Contribute to special projects as required;
- Participate in meetings and other activities related to role;
- Work in compliance with company policies and procedures and Occupational Health & Safety Act;
- Performs other duties as assigned.
Qualifications
- Post-secondary degree/diploma in Supply Chain, Business, Horticulture, or a related field (or equivalent experience);
- Minimum 2 years’ experience in an item master, product data management, or supply chain support role;
- Experience working in wholesale, floral, consumer packaged goods or agriculture industries preferred.
- Familiarity with mass retailer item setup portals (e.g., Retail Link, GDSN) is an asset.

- Strong organization skills to multi-task and prioritize in a fast-paced environment;
- Demonstrated ability to work effectively and collaboratively with other departments;

- Effective verbal and written communication skills;
- Strong technical aptitude to navigate ERP system, online portals, etc.;
- Intermediate proficiency in MS Office (Excel, Word, Outlook).
